Digitization Pilot

If purchasing a MEDIA or a PAPER Digitization Pilot in the United States:
– All materials must be shipped to Ovation Data in one FedEx Express Shipment – Large Box (12-3/8″ x 3″ x 17-1/2″).
– This box type is available at FedEx Ship Centers throughout the US and is free of charge until shipped.
– Total weight of the box must be less than 30 lbs.
– Two-day shipping of your box – both to Ovation Data and in return – is included in the total cost of the Pilot.
– A MEDIA Pilot is limited to 25 media items that fit into the box.
– A PAPER Pilot is limited to 25 paper items that fit into the box.
– A CUSTOM Pilot can be designed to your organization’s specific needs.
– Ovation Data is not responsible for lost or damaged items during shipping.

If purchasing a MEDIA or a PAPER Digitization Pilot in the United Kingdom:
– All materials must be shipped to Ovation Data in one DHL Box 3 (34cm x 32cm x 9cm).
– This box type is available at DHL Service Points throughout the UK and is free of charge until shipped.
– Total weight of the box must be less than 3.5kg.
– Two-day shipping of your both – both to Ovation Data and in return – is included in the total cost of the Pilot.
– A MEDIA Pilot is limited to 25 media items that fit into the box.
– A PAPER Pilot is limited to 25 paper items that fit into the box.
– A CUSTOM Pilot can be designed to your organization’s specific needs.
– Ovation Data is not responsible for lost or damaged items during shipping.

Payment Terms

Invoices will be issued upon completion of the work.

Payment is due within 30 days of invoice.

Late payments may incur additional charges.

Ownership of Materials

Customer warrants that it has title or otherwise has rights, including intellectual property rights, to any data, other information, and materials provided to Ovation Data in the course of the Digitization Pilot.

All physical materials provided by the Customer for digitization will remain the property of the Customer. Ovation Data will take necessary precautions to ensure the safety and security of these materials while they are in our care.

Ovation Data irrevocably transfers, conveys, and assigns to the Customer in perpetuity all rights, title, and interest to the output files that are created in the course of the Digitization Pilot.

Ovation Data will keep the digitized files for 30 days after delivery then permanently delete the files.

Condition of Materials

Media and paper materials sent for digitization are anticipated to be in good condition. If this is not the case upon receipt and inspection of the materials, Ovation Data will contact the Customer before proceeding to determine next steps and any additional costs.

Private AI/ML

This is an optional service. Customer may authorize Ovation Data to use private AI/ML on the digitized files to facilitate project deliverables. All discovered information is kept within the Ovation Data internal environment (never in the public domain) and is deleted within 30 days of the order completion.
